Welcome to Zazu Adventures! These Terms and Conditions outline the agreement between you and Zazu Adventures regarding your participation in our safaris. Please read them carefully before booking your trip.

1. Booking Confirmation

1.1 Placing a Booking:

To book your Zazu Adventure trip, please use the provided form or email us at info@zazuadventuresHQ.com. Your booking request signifies your acknowledgment and acceptance of these terms and conditions.

1.2 Confirmation Process:

Upon receiving your booking request, we will create a proposed itinerary, attach a quote, and send it to you for review. Once confirmed, your trip details will be sent to you via email, along with instructions for submitting your deposit payment. Please note that your booking is not considered finalized until we receive your deposit payment.

1.3 Right to Refuse Bookings:

While we strive to accommodate all requests, Zazu Adventures reserves the right to refuse bookings at our sole discretion. This may occur due to limited availability, safety concerns, or other unforeseen circumstances.

2. Deposit and Payments

2.1 Deposit:

To secure your booking, a deposit of 20% of the total trip cost is required at the time of confirmation. This deposit must be submitted within 14 days of receiving your quote. If we don't receive your deposit within 14 days, you will need to request a new quote.

2.2 Final Payment:

The remaining balance of your trip cost must be paid in full no later than 31 days prior to your departure date. Payment can be made via credit card, PayPal, or money transfer.

2.3 Bookings Within 31 Days:

For bookings made within 31 days of departure, the full trip cost must be paid at the time of confirmation.

2.4 Late Payments:

In the event of a late payment, a penalty fee of 10% will be applied to the outstanding balance. Zazu Adventures reserves the right to cancel your booking if the full payment is not received within 14 days of your departure date. If this occurs, you can apply the 20% deposit previously made as credit to a future trip.

2.5 Accepted Currencies:

All payments must be made in USD. We do not accept payments in other currencies at this time.

3. Cancellation or No Show

3.1. Cancellations:

We understand that plans can change. However, due to the intricate nature of our safaris involving various partners and pre-arrangements, processing refunds for cancellations can be complex and time-consuming. Therefore, in the event of a cancellation by you, we are unable to offer a direct refund on your trip cost.

Trip Credit System:

As an alternative, we are happy to provide you with a full trip credit for the total amount paid, minus any administrative fees associated with your original booking. This credit can be used towards a future safari adventure with Zazu Adventures.

Here's a breakdown of how the credit system works:

  • Credit Validity: Your trip credit will be valid for 1 year from the date of your original booking cancellation.
  • Using Your Credit: To use your credit for a future safari, simply contact us at info@zazuadventures.com and reference your booking details and credit information. We will be happy to assist you in finding a new adventure that suits your preferences and ensure your credit is applied accordingly.
  • Booking Another Trip: The credit can be applied towards any of our safari packages. However, please note that any difference in price between your original trip and the new chosen adventure will need to be settled at the time of booking.

Exceptions:

In the event of death or hospitalization of yourself or an immediate family member, we understand this is a very difficult time. While we cannot offer a direct refund due to partner complexities, we will issue a full trip credit for the total amount paid, minus any administrative fees. This credit can be used towards a future safari adventure with Zazu Adventures.

We appreciate your understanding of this policy. While we cannot offer direct refunds for cancellations, we believe our trip credit system offers a flexible and valuable alternative, allowing you to reschedule your safari adventure at a later date.

3.2. No Shows:

In the event of a no-show (failure to appear for the trip without prior written cancellation), the full trip cost will be charged. No refunds will be issued.

3.3. Partial Cancellations:

If the group size reduces, the above cancellation policy applies to the canceling clients. In addition, the price per person for remaining clients might change as applicable based on the new group size

4. Changes in Rates

4.1. Rate Adjustments:

While we strive to maintain advertised trip costs, we reserve the right to adjust rates in unforeseen circumstances beyond our control. This may include significant increases in government fees or taxes, changes in exchange rates, or increases in costs from third-party suppliers.

4.2 Notification of Rate Adjustments:

In the event of a rate adjustment, we will notify you via email at least 14 days prior to your departure date with an explanation for the change and the revised trip cost.

4.3 Rate Adjustment Policy:

If you have already received a confirmed quote and paid your deposit, and the rate change falls within 31 days before your departure date, we will honor the original quoted price, unless the increase exceeds 10% of the total trip cost.

4.4 Apology for Disruption:

We understand that rate changes can be inconvenient and sincerely apologize for any disruption they may cause. We will always prioritize communicating openly and transparently with our guests in such situations.

5. Insurance

5.1. Travel Insurance Recommendation:

Zazu Adventures highly recommends that all guests purchase comprehensive travel insurance for their trip. Travel insurance can provide valuable financial protection in case of unforeseen circumstances, such as:

  • Trip cancellation or interruption due to illness, injury, or other covered reasons.
  • Medical expenses incurred during your trip, including emergency evacuation.
  • Loss or damage to personal belongings.
  • Travel delays or missed connections.

5.2. Coverage Requirements:

While we do not require travel insurance as a condition of booking, we strongly encourage guests to obtain coverage that includes, at a minimum:

  • Emergency medical evacuation and repatriation benefits.
  • Trip cancellation and interruption coverage.
  • Adequate coverage for personal belongings and baggage.

We emphasize the importance of travel insurance throughout our guest communication:

6. Check-in and Departure Times

6.1 Hotels and Accommodations:

Check-in and check-out times will vary depending on the specific hotel or accommodation policy. We will communicate the confirmed times to you after your booking is finalized. Early check-in or late check-out may be available upon request and subject to the hotel's availability and potential fees. Please inquire with us if you have any specific needs. In case of late arrival or missed check-in, please contact the hotel or accommodation directly as soon as possible.

6.2 Safaris:

For safari portions of your trip, please be prepared to depart from your accommodation early in the morning. This allows us to maximize wildlife viewing opportunities and travel between destinations efficiently. Arrival times at new safari accommodations will generally be in the afternoon or early evening. We will provide precise details of the itinerary closer to your departure date.

7. Itinerary Modifications and Changes

Modifications to your itinerary are subject to availability and may incur additional charges. Requests for modifications should be directed to info@zazuadventures.com, where our team will work diligently to accommodate your needs. However, it's important to note that while we strive to fulfill all requests, changes made while on safari must be coordinated directly with your guide.

During your safari experience, modifications may be limited due to advanced reservations and full bookings at accommodations and activity providers. Your guide will do their best to accommodate any changes you wish to make, but please understand that availability can be constrained, particularly for popular attractions or during peak seasons.

We recommend discussing any desired modifications with your guide as early as possible to maximize the chances of successful adjustments to your itinerary. Our priority is to ensure that you have a memorable and enjoyable experience, and we appreciate your understanding and flexibility in this regard.

8. Health and Safety

At Zazu Adventures, your well-being is our top priority. We strongly recommend that all guests obtain recommended vaccinations and bring prescribed medications, as well as over-the-counter medications for common ailments such as headaches, allergies, or upset stomachs.

While on safari in Tanzania, it's essential to be aware of potential health risks, including exposure to wildlife, extreme weather conditions, and remote locations. We advise guests to take necessary precautions, such as using insect repellent to prevent insect bites, staying hydrated, and applying sunscreen to protect against sunburn.

In rare cases where there are significant health or safety concerns, we reserve the right to refuse service or terminate a trip to ensure the safety of our guests and staff. Our guides are trained to assess risks and respond accordingly, and we appreciate your cooperation and understanding in such situations.

  • International Flights: Guests are responsible for booking their own international flights to and from Tanzania.
  • Visas: It is the guest's responsibility to obtain any required visas for entry into Tanzania. Please check with the Tanzanian embassy or consulate in your country for visa requirements and application procedures.
  • Personal Expenses: Expenses such as souvenirs, alcoholic beverages, laundry services, and gratuities are not included in the package price and are the responsibility of the guest.
  • Optional Activities: While our safari packages include a range of exciting activities and experiences, there may be additional optional activities available at certain destinations that are not included in the standard package. Guests have the option to participate in these activities at their own expense.
